Categories of Personal Information We Collect

We collect personal information from multiple sources to provide and improve our Services. Much of the information we collect comes directly from you when you interact with our Services by completing forms, uploading documents, using chat features, submitting selections or preferences, or otherwise providing information. This type of information is considered user-provided content, meaning any personal information you submit directly through our Services. User-provided content may include identifiers and contact information such as your name, age (to ensure legal capacity), marital status, email address, mailing address, telephone number, IP address, and account credentials; customer records, financial information, documents, questionnaire responses, preferences, selections, or uploaded files; and audio or visual information you provide for security or service purposes.

We also collect personal information from other sources that is not user-provided content, including commercial and transaction information such as products or services purchased, payment details, and billing or subscription information; internet or network activity information, including browsing history and interactions with our website; protected classification characteristics under applicable law, such as age or military status; and sensitive personal information, such as financial, health, or insurance information.

In addition to information you submit directly, we may collect personal information indirectly through your interactions with our Services using cookies, tracking technologies, or analytics. We may also receive information from related parties, such as businesses or contacts you are associated with, including shareholders or business owners, and from service providers, including vendors and contractors that assist in delivering or improving our Services. We may also receive information from business partners, affiliates, and subsidiaries, for example through cross-promotional relationships, product integrations, or acquisitions. Personal information may be obtained from publicly or commercially available sources, such as government records or social media, as well as from unrelated third parties, for instance documents received on your behalf in our role as Registered Agent.

How We Use Personal Information

We use personal information for legitimate business purposes necessary to provide and improve our Services. This includes providing, operating, and maintaining the Services; generating, customizing, and delivering requested documents or outputs; and creating, authenticating, and managing user accounts. We use personal information to process payments and transactions, communicate with you regarding your account, transactions, or service-related notices, and provide customer support or respond to inquiries.

Personal information is also used to improve and develop new products and features, monitor usage and performance, and maintain the security and integrity of our Services. We may use it to detect, prevent, and investigate fraud, misuse, or other unauthorized activities, and to comply with applicable laws, regulations, and legal obligations. Additionally, personal information may be used to enforce our Terms of Service and other agreements.

In certain cases, personal information may be shared with service providers, business partners, affiliates, or subsidiaries solely for these purposes and subject to contractual limitations designed to protect your information. Trove does not sell personal information for monetary consideration, and we take reasonable measures to ensure that any third-party sharing is consistent with this Privacy Policy and applicable law.

Sensitive Information

Some information you provide through the Services may be sensitive in nature. While we do not collect Social Security numbers, government identifiers, or citizenship status, some information provided (such as financial account details or healthcare-related preferences) may be classified as Sensitive Personal Information under state law. We use this information only to provide the Services you request, to maintain security, and to comply with legal obligations; we do not use it to infer characteristics beyond what is necessary to deliver the Services.

How We Disclose Personal Information

Trove may share personal information in limited circumstances for legitimate business purposes or as required by law. We may disclose personal information to trusted third-party service providers and vendors who perform services on our behalf, including hosting and cloud infrastructure, payment processing, analytics and monitoring, customer support tools, and security or fraud prevention. These providers are authorized to use personal information only as necessary to perform their services for Trove and are contractually required to maintain appropriate confidentiality and security measures.

We may also disclose personal information to comply with legal obligations, such as laws, regulations, subpoenas, court orders, or other governmental requests, or when we reasonably believe disclosure is necessary to protect the rights, property, or safety of Trove, our users, or others, or to investigate fraud, security incidents, or other misuse of our Services.

In the event of a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, personal information may be transferred as part of that transaction. Any such transfer will be subject to appropriate confidentiality, contractual, and legal protections to safeguard the information. Personal information may also be shared with affiliates, subsidiaries, or business partners strictly to perform legitimate business functions, such as cross-promotional activities, product integrations, or service improvements.

Finally, personal information may be disclosed when you direct us to do so or provide consent. Trove is not responsible for the acts, omissions, content, or privacy practices of any third parties that receive your personal information or that you may access through our Services, including websites or services linked from our platform. All disclosures are limited to what is necessary to properly provide our Services, comply with legal obligations, or fulfill the purposes described in this Privacy Policy.

Cookies and Similar Technologies

Trove and our service providers may use cookies, web beacons, pixels, and other tracking technologies to operate and improve our Services, monitor performance, analyze usage trends, personalize content, and deliver relevant information or offers. These technologies may collect information about your device, browser, interactions with our Services, and usage patterns.

You can manage or disable cookies through your browser or device settings; however, some features of our Services may not function properly if cookies are disabled.

Data Retention

Trove retains personal information for as long as necessary to fulfill the purposes for which it was collected, to provide our Services, and to comply with applicable legal, regulatory, tax, or contractual obligations. In certain cases, personal information may be retained for extended periods to support business operations, maintain historical records, prevent fraud or misuse, resolve disputes, or enforce our agreements.

User-provided content, transactional records, system logs, and other information may be retained longer in accordance with internal business policies or legal requirements. Personal information may also remain in backup or archival systems for a reasonable period to ensure business continuity, recover from system failures, or protect against security incidents.

Trove regularly reviews the types of personal information we maintain to ensure that it is accurate, complete, and necessary for the purposes described in this Privacy Policy. Retention periods may vary depending on the type of information, the Services you use, and applicable legal requirements.

Data Security

Trove implements reasonable administrative, technical, and physical safeguards to protect personal information from unauthorized access, disclosure, alteration, or destruction. These measures include access controls, encryption where feasible, secure storage, and monitoring in line with industry standards.

We require that our service providers, vendors, and partners maintain security measures consistent with industry standards and applicable legal obligations. Personal information retained in backup or archival systems is subject to similar safeguards.

While we strive to protect personal information, no system or method of transmission over the internet is completely secure. Trove cannot guarantee absolute security of any information you provide or that we collect, and you acknowledge and accept this inherent risk when using our Services.

Your Privacy Rights

This section explains how you can access, control, and manage the personal information that Trove may have about you. It applies to all users of our Services, including those who have purchased products or services, or whose information may have been provided to us by a third party. Depending on where you live, you may have additional rights under your state’s privacy law.

Confirming Information We Hold About You

Upon a verified request, and subject to the privacy rights of others and technical limitations, Trove will provide information about whether we maintain personal information related to you. In certain circumstances, we may also correct or delete your personal information. However, Trove may need to retain certain information to provide our Services, comply with legal obligations, resolve disputes, or enforce our agreements.

Accessing and Updating Your Information

You may access, review, and update the personal information associated with your account by signing into your Trove account. Depending on the Services you use, you may also be able to complete pending transactions, update preferences, or provide new information directly through our tools.

Opting Out of Marketing Communications

You may opt out of promotional emails, SMS/text messages, and marketing calls from Trove at any time. Opt-out instructions are provided in each communication, or you can submit a request through your account or by contacting us at legal@trovewills.com. Please note that transactional or service-related communications cannot generally be opted out of, as they are necessary to provide our Services.

Verification and Limitations

To protect your privacy and security, Trove may require you to verify your identity before fulfilling a request. Requests may be declined if we are unable to verify your identity, if fulfilling the request would violate the privacy rights of others, or if retention is required by law or necessary for ongoing business purposes.

Submitting Requests

You have the right to request access to personal information we hold about you, request correction or deletion of personal information, limit use of sensitive personal information, object to or restrict certain processing, or withdraw consent where processing is based on consent. To exercise your privacy rights, you may submit a request by emailing us at legal@trovewills.com. You may also authorize an agent to submit a request on your behalf, provided you grant written authorization and provide identity verification for both yourself and your agent. Trove will not discriminate against you for exercising your privacy rights.

Please note that we may deny a deletion request, in whole or in part, if retaining the information is necessary for us to:

  1. Comply with a legal obligation or a court order.
  2. Complete the transaction for which the personal information was collected (e.g., maintaining the integrity of a generated Will).
  3. Exercise or defend legal claims, particularly in the event of future disputes regarding the validity of documents generated through our Services.

Appeals

If Trove denies your request, you may appeal the decision by contacting us at legal@trovewills.com. Residents may also contact their applicable state Attorney General to lodge a complaint. Trove will review all appeals and respond within the timeframe required by applicable law.

Use of Personal Information for Marketing or Advertising

Trove may use personal information to provide relevant advertising or improve Services. Trove does not sell personal information or share it for cross-context behavioral advertising. If applicable under your state’s law, you may opt out of such uses by submitting a request by contacting us at legal@trovewills.com. Trove does not sell personal information for monetary consideration.

International Users and Data Transfers

Trove is a U.S.-based company, and the personal information we collect is stored and processed in the United States. If you access our Services from outside the United States, please be aware that your information may be transferred to, stored, and processed in the U.S., where data protection laws may differ from those in your jurisdiction. By using our Services, you consent to such transfers. Trove takes reasonable steps to ensure that international transfers of personal information are handled securely and in accordance with applicable law.

Children’s Privacy

Our Services are not directed to, or intended for use by, individuals under the age of eighteen (18). We do not knowingly collect personal information directly from individuals under the age of eighteen (18).

Information Provided by Parents/Guardians

We recognize that users may provide information about minor children when using our Services to generate estate planning documents (e.g., naming a child as a beneficiary). When you provide information about a minor, you represent and warrant that you are the parent or legal guardian of that minor or otherwise have the legal authority or express permission from a guardian to provide such information. We use this information strictly to provide the requested Services and do not use it for marketing or advertising purposes. If we become aware that we have inadvertently collected personal information directly from a child under the age of 13 without verifiable parental consent, we will take reasonable steps to delete that information as soon as possible.

Automated Decision-Making and Profiling

Trove may use automated systems to help provide and improve our Services, such as to personalize content or verify identity. We do not make decisions about you solely on automated processing that would have legal or similarly significant effects without human review.
